Executive Summary

RRAJ Bioplast, a manufacturer of sustainable plastics, required a system to record each stage of their manufacturing process in order to calculate accurate final costs and margins. The organization needed visibility into sample creation before final production, inventory adjustments, and automation of manufacturing workflows. Additionally, they required a system to generate quotations, sales orders, invoices, and manage purchase orders for inventory and stock. Zoho applications were implemented to automate and streamline these end-to-end manufacturing and business operations.

Problem Statement and Key Challenges

Rajbioplast requires a software solution to streamline their manufacturing operations. They need a system that records every stage of production to calculate the final cost and margin, allowing them to provide accurate estimates and finalized costs to clients. The software should also track samples created before the final product, facilitating stock analysis and inventory adjustments. The goal is to automate the manufacturing process, handle manual entries, finalize costs, generate sales orders, invoices, and manage purchase orders for inventory and stock management.

  • Zoho Books – To manage accounting, cost finalization, invoicing, and financial transactions
  • Zoho Inventory – To handle inventory adjustments, stock tracking, purchase orders, and sales order management
  • Zoho CRM – To manage customer data, quotations, and sales-related processes

Implementation Approach

For the implementation, we began by designing a custom layout for deal stages, incorporating buttons for stage transitions and automations for follow-up emails at each stage. A kiosk was also developed to enhance functionality. We established workflows to prevent duplicacy in leads and created multiple workflows tailored to the client’s business processes and requirements. Additionally, we developed a function for email parsing to streamline the handling of incoming leads.

    Result/ Business Impact

    The implementation resulted in a significantly streamlined process for managing deals and leads. The custom layout for deal stages, complete with stage transition buttons and automated follow-up emails, improved workflow efficiency and ensured timely communication. The addition of a kiosk enhanced operational functionality, while the new workflows effectively prevented duplicacy in leads. Tailored workflows aligned with the client’s business processes, optimizing their operations. The email parsing function further streamlined lead management by automating the handling of incoming communications, contributing to a more organized and efficient system overall.
