To address these challenges, Coderack implemented a comprehensive Zoho One ecosystem that integrated finance, inventory, CRM, billing, HR, and support operations. This unified approach enabled Operant to automate recurring services, improve visibility across departments, and enhance overall operational efficiency

Problem Statement and Key Challenges

The client is seeking a robust solution to manage several aspects of their business operations more efficiently. Previously, they relied on the Busy software to handle basic financial tasks, such as expense tracking and GST filing. However, as their business has grown, they now require a more advanced system to streamline these processes, ensuring accurate expense recording and seamless GST compliance. In addition, they need better control over their stock management to maintain inventory records, track stock levels, and ensure efficient restocking and order fulfillment.

Moreover, as a service provider offering installations, Annual Maintenance Contracts (AMC), and ongoing support, the client needs an effective system to manage customer subscriptions. This includes tracking service contracts, automating subscription renewals, and handling billing for recurring services.

The client is now seeking a comprehensive solution that integrates financial management, inventory control, and service subscription management to improve workflows and overall business performance.

Implementation Approach

We, Coderack configured Zoho Expense and Billing according to the client’s workflow, integrating their data seamlessly across Zoho Books, CRM, and Billing applications. Approval systems and automated workflows were implemented in both Books and CRM to enhance operational efficiency. Additionally, we developed a custom extension for Zoho Desk, enabling users to view billing subscriptions without displaying pricing details.

Zoho Expense, Recruit, and People were also set up in accordance with the client’s specific organizational policies. We created email templates for automated communication with customers and provided assistance in managing subscriptions using Zoho Billing, along with Zoho Books for seamless GST filing. A custom dispatch management module was developed to optimize shipment processes, and a Price Request module was created into CRM, allowing users to request pricing for specific products. Finally, Zoho Desk was configured for customer support, including email integration, to ensure a smooth and responsive service process.

    Result/ Business Impact

    As a result of implementation, the client experienced a significant improvement in their business operations. Financial processes became streamlined through the integration of Zoho Expense, Billing, and Books, enabling accurate expense tracking, automated GST filing. The approval systems and automated workflows in Books and CRM ensured greater transparency and faster decision-making.

    The use of Zoho Billing allowed for seamless handling of customer subscriptions, automating renewals and billing processes, which reduced administrative efforts. The custom dispatch management module optimized the shipment process, improving order fulfillment. Additionally, the Price Request module in CRM provided customers with a more streamlined way to request pricing for specific products, leading to faster responses and better customer satisfaction.

    Customer support operations were also significantly improved through the setup of Zoho Desk and email integration, ensuring faster and more organized responses to customer inquiries. Overall, the implementation resulted in a more efficient, automated, and customer-centric business operation for the client.
