End-to-End HR Automation with Zoho People, Zoho Payroll & Slack

GATP Solutions, a fast-growing accounting and payroll services firm, needed to modernize their HR operations. Manual processes across attendance, leave tracking, onboarding, document storage, and payroll were consuming significant time and causing inconsistencies.

We implemented a complete automated HR suite using Zoho People and Zoho Payroll with Slack notifications to streamline HR processes end-to-end.

As GATP scaled, HR processes became inefficient due to manual work, siloed data, and lack of automated workflows. Payroll errors increased due to manual reconciliation between attendance and payroll rules.

By deploying Zoho HR solutions, we automated shift management, onboarding, leave policies, document management, HR templates, Slack notifications, and payroll operations. Attendance now flows seamlessly into payroll, eliminating manual dependency.

Problem Statement and Key Challenges

Before engaging our services, GATP faced the following HR pain points:
  • HR operations were largely manual, with fragmented and inconsistent processes for tracking attendance, leave, onboarding, document management, and payroll calculation.
  • Approval flows (for leave, shift changes, etc.) were not automated, causing delays and lack of visibility.
  • Onboarding new staff required manual collection of documents, reminders, and follow-ups, which consumed HR time.
  • There was no centralized, secure storage for employee documents and organization level HR files.
  • Notifications (birthdays, anniversaries, leave status, new joiners etc.) were done manually or inconsistently.
  • Payroll calculation often required reconciliation of attendance with payroll rules manually, risking errors and in efficiencies. 


In short: lack of automation, data silos, manual overhead, and lack of real-time visibility into HR metrics were primary hurdles.

Solution Proposed and Tools Implemented

  • Employee Attendance & Shift Management
Multiple shift schedules were configured; attendance captured and routed via approval flows.
  • Leave Management & Policy Automation
Configured leave policies; automated leave submission, approval workflows.
  • Onboarding Automation
Document collection, sending welcome reminders, and tracking completion.
  • Document Management
Individual employee folders for secure storage of documents; organization level documents accessible centrally.
  • Templates & Letter Generation
Created forms/templates for appointment letters, offer letters, termination letters, experience letters, NOCs etc. Also, a “Send Email Letter” button was built so HR can generate and send these directly via email to employees.
  • Slack Integration for Notifications
Automated notifications triggered to Slack for HR events such as birthdays, work anniversaries, leave submissions, new joiner alerts, leave balance updates, etc.
  • Zoho People + Zoho Payroll Integration
Attendance and leave data in Zoho People flow directly into Zoho Payroll, enabling automated salary calculations based on actual work data without manual intervention.

Implementation Approach

  1. Discovery & Requirement Gathering
    • Mapped GATP’s existing HR processes, pain points, and data flows. Defined workflows, policies, approval hierarchies, document needs, and reporting requirements.
  2. Design & Configuration
    • Built custom modules and forms in Zoho People aligned with GATP’s processes.
    • Defined leave types, policy rules, shift configurations, and approval paths.
    • Designed templates for HR letters/documents.
    • Configured Slack webhook / integration points to trigger notifications.
  3. Integration & Automation
    • Integrated Zoho People with Zoho Payroll, mapping attendance / leave data to payroll logic.
    • Set up Slack integration to send real-time alerts and reminders.
  4. Data Migration & Onboarding
    • Migrated existing employee data and documents. Onboarded HR team and employees onto the new system. Carried out training sessions.
  5. Testing, Iteration & Roll-out
    • Thorough testing of attendance → leave → payroll flows. Adjusted edge cases (e.g., shift swaps, approvals). Then gradual roll-out across teams.
  6. Support & Optimization
    • Monitored adoption, addressed user feedback, fine-tuned workflows, and handled escalations; provided ongoing maintenance.
